Getting started
What HWD POS is, the roles and the key concepts everyone shares.
1.1 What HWD POS is
HWD POS is the system the hardware store uses for all of its daily operations: quoting, collecting payments, running the warehouse, buying from suppliers, preparing and delivering orders, granting credit and checking reports. Everything is connected: a single sale can be followed from the quotation all the way to the customer's signature on delivery.
It is used in three ways, and all three show the same screens that appear in this manual:
| Where | What for | What is special about it |
|---|---|---|
| Desktop terminal (HWD POS app) | Cash registers, sales counter, warehouse and office | Prints on the store's printers and handles the card reader over USB |
| Tablet or phone (HWD POS app) | Delivery, customer signature and lookups | Camera to read codes and take photos, and NFC for cards on phones that have it |
| Web browser on a computer | Lookups and administration | Some device features (cards, native reader) exist only in the app |
How to install and connect each app is explained in Apps.
1.2 Roles and access
Each person signs in with their own user, which has one or more roles. The role decides which menus and buttons they see. In addition, the administrator can grant or remove individual permissions for a person without changing their role (chapter K).
| Role | What it is for |
|---|---|
| Super Admin | Full access. For the technical manager only. |
| Admin | Full administration: settings, users, devices, cards, reports. |
| Gerente (Manager) | Supervision: approvals, reports, profit, prices and sending documents by email. |
| Caja Gerente (Cashier Manager) | Everything in Caja (Cashier) plus X/Z closings, returns, voids and refunds. |
| Ventas Senior / Normal / Junior (Sales Senior / Normal / Junior) | Quotations, with discount limits from highest to lowest. |
| Caja (Cashier) | Collect payments, open and close their register, give change, coupons and quick sale. |
| Bodega (Warehouse) | Inventory: stock entries, authorized withdrawals, physical count, damages and transfers. |
| Compras (Purchasing) | Suppliers, brands, purchase orders and receiving. |
| Entrega (Delivery) | Prepare and dispatch paid orders. Combined with Bodega. |
| Envío (Shipping) | Home delivery with the tablet: photo, signature and outcome. |
| Finanzas (Finance) | Account statement, financial reports, reconciliation and accounts receivable. |
| Auditor | Audit and report lookups, without changing anything. |
If you don't see an option
Your role does not have it enabled. That is expected; ask your administrator for it only if your work needs it.
1.3 Key concepts
| Concept | What it means day to day |
|---|---|
| Sale journey | Cotización (Quotation) → Pedido (Order) → Factura (Invoice) → Entrega (Delivery) → Envío (Shipping). Not every stage always applies: what the customer takes away at the counter does not go through Entrega. |
| Operation number ORD-… | The whole sale shares a single number. Just type the bare number (for example 1104) into any search box to find the entire operation. |
| ITBMS | Calculated on the list price; the discount is subtracted at the end, after the tax. That is why a 7 % discount with 7 % ITBMS leaves the total equal to the subtotal. |
| Server-side printing | When you print, a window opens to choose the printer; the server generates the document and sends it. It does not depend on the browser. |
| Units and models | A product is sold in several units (unit, pack, box) and can have models (color or type), each with its own stock and its own barcode. |
| Approvals | A high discount, a price below the minimum, a credit over the limit or negative stock wait for a supervisor's approval. |
| Evidence | Signature, photos and the name of the person who signs, which are stored with the credit, the delivery note or the shipment. |
